Change Orders Review (PM)

#1. Create a New Change Order


  1. Navigate to Jobs and locate the job record 
  2. Click on the Change Orders tab to start or edit a change order
  3. Click on the +New Change Order to create a new change order or click on an existing 
  4. CO Status show the current status of a submitted change order. The statuses are: New, Submitted, Approved, Declined.

#2. Enter Change Order Details 

  1. Enter Change Order Details:
    1. Subject (or reference);
    2. The Company name will be automatically selected (from existing Job). You can remove and choose another company from the application. 
    3. Choose a contact - the list of contacts will be related to the Company selected. 
    4. Select the price list (this will be set automatically from the Company); See related article for adding a price list to a company here. 
    5. Enter Reason for Change (#Important: This Reason for Change will be shown on the Change Order document for the customer);
    6. Select Yes when ready to submit to Proposal Team)
  2. Enter the Address for the Customer referenced in the Change Order
  3. Save to Add Services; Save and Close to Exit. 
  4. The Submit to proposal date will be automatically completed when the Submit toggle is selected Yes and the record saved. 





#3. Add Services 

After Saving Change Order Details,
  1. The Services section will appear.
  2. Add ##Products## Services 
    1. Select the services from the price list, this will include write in services. In Sandbox, only a small amount of services will be available. 
  3. To Link Application #, or Modify/Update Service Description, double click on any service line item.
#4. Link Application Number; Modify/Update Service Description 
To associate an application number with a service or to change the service description, double-click on any service line item, as illustrated in point #3.
  1. To view available applications for the job, click the magnifying glass icon next to the 'Application Number' field. Then choose the relevant application.
  2. In the 'Description' section of the services, enter the text that should be displayed on the service line of the Change Order. Important: This text is what the client will see.


#5. Approved Change Orders


Once Change Orders are approved, they will show in the Approved Change Order Services section of Services
  1. Navigate to the Services Tab
  2. The list of Approved Change Order services will show here once the status has been updated by the Sales/Ops team to Approved.
